What does a QuickBooks ProAdvisor accountant actually do?

QuickBooks accountants work inside QuickBooks Online, the dominant cloud accounting platform in the US and increasingly common in Canada. Its links to sales tax automation such as Avalara and TaxJar, to payroll providers including Gusto and ADP, and to state-specific reporting are why it sits behind most of our startup accounting and US small business accounting work.

Most VC-backed US startups begin on QuickBooks Online, and many stay on it through Series B and beyond. We are QuickBooks Online ProAdvisor certified with the advanced certification, the highest individual practitioner tier Intuit offers. Our practice is listed on the QuickBooks Find-a-ProAdvisor directory, and we maintain certifications annually through Intuit's continuing education programme. On the tax side we work to the IRS rules on depositing and reporting employment taxes, with deposit frequency set from the lookback period in IRS Publication 15 (Circular E).

Our QuickBooks specialism is particularly strong for US clients: e-commerce brands using QBO + A2X for Shopify/Amazon reconciliation, B2B SaaS companies tracking ARR/MRR with custom QBO reporting, and professional services firms running project-level reporting through QuickBooks Classes and Locations features. The honest answer

When is QuickBooks the wrong choice?

Outside the United States, usually. QuickBooks UK exists and it is MTD-recognised, but the UK-specific reporting and the app ecosystem around it are thinner than Xero, which is why our UK practice defaults to Xero Certified Advisor accountants instead. It is also the wrong choice for a one-person service business with no employees and no stock. A consultant billing 12 invoices a month does not need Classes, Locations or inventory, and is better off on FreshBooks accountants scope or on Wave accounting for solopreneurs, where the software itself is free.

Where QuickBooks earns its place is multi-state sales tax. Since the 2018 South Dakota v. Wayfair decision, economic nexus is triggered by revenue and transaction counts rather than physical presence, and most member states publish their thresholds through the Streamlined Sales Tax Governing Board. Avalara and TaxJar both write back into QuickBooks, which no other SME platform matches. QuickBooks ProAdvisor accountants: the recurring questions.

Should I use QuickBooks Online or QuickBooks Desktop?
Online: almost always. QuickBooks Desktop is legacy software; Intuit has discontinued new desktop subscriptions in favour of QBO. We migrate Desktop clients to Online as standard scope.
Which QBO plan should I be on?
Simple Start (under 1 user, very small business), Essentials (3 users, bills and payments), Plus (5 users, inventory, projects, classes/locations) or Advanced (25 users, custom reporting, automated workflows). Most growing SMEs need Plus or Advanced.
Do you integrate with Gusto / Rippling / ADP for payroll?
All three post to QBO, so the connector is rarely what decides it. The mapping is. When employer taxes land in the same account as gross wages, the quarterly Form 941 reconciliation stops tying out and nobody notices until year end. Changing provider part-way through a year is the other risk, because year-to-date wage bases have to carry across. Move at a quarter boundary.
How do you handle multi-state sales tax in QBO?
Nexus is the hard part, not the filing. Liability begins when you cross a state's threshold, not when you register, so a late registration leaves back tax that was never collected from the customer. Marketplace sales are the other trap, because several states still count them toward your threshold even though the marketplace remits. We check the state's own department of revenue rule, then ask about voluntary disclosure before registering late.
Can you handle US Form 1120 from QBO data?
Owner draws sitting in expense accounts, a personal card riding in the bank feed, reconciliations left open past December: that is where the hours go, not in the return itself. An 1120-S adds shareholder basis and reasonable owner compensation on top, neither of which QuickBooks tracks anywhere. If the S election is new, check the filing window in the IRS instructions to Form 2553 before anything else.
Do you file Form 941 from QuickBooks data?
Yes. Quarterly Form 941 is prepared from the payroll data flowing into QuickBooks from Gusto, Rippling, ADP or QuickBooks Payroll, reconciled to the general ledger wage and tax accounts, then filed electronically. Deposit frequency (monthly or semi-weekly) follows the lookback period rules in IRS Publication 15, and we set the schedule at onboarding rather than guessing it.
When are the books closed each month?
By the fifth business day. Bank and card feeds are reconciled continuously through the month rather than in a month-end scramble, so the close is a review rather than a rebuild. Sales tax accruals, payroll journals and deferred revenue are the three areas that most often hold a close open past day five.
Do you support QuickBooks UK?
Yes: though for UK clients we typically recommend Xero (better UK-specific features and MTD integration). Where existing setup, sector or integration needs favour QuickBooks UK, we work in it.
